Policy, Procedures and General Information

Attendance Schedule
Students should obtain their class schedule, laboratory hours, clinic schedule or Co-op/Internship sessions schedule from instructors or faculty head.

Attendance and Active Participation
Attendance is monitored, and students are required to log on electronically each time they attend and log out again at the end of the session.

Students receiving, Grants, Loans, Government Assistance, OSAP or other Loans  that are registered in a full-time diploma program are required to attend a minimum of 20 hours per week or more as required by program schedule. Full Time students are not permitted to be away for more than 3 consecutive days and must have a written doctors note in case of absenteeism.

The school may disclose attendance records to any authorized third party agency or sponsor(s), the attendance records may also be provided to external auditors for verification as well as Service Canada, Citizenship and Immigration Canada (CIC), the Ontario Ministry of Training, Colleges and Universities; Student Support Branch and any government approved body or by court order or consent.

Absenteeism
In case of absence, students are expected to telephone and inform the School of the reason for the absence. Where absence continues for more than 3 consecutive days, a doctor’s note must be submitted and kept in the student file.

If a student misses a day or part of a day, it may be possible to make up the time by coming in early or leaving late for a few days until the total hours are covered depending on the program.

A student that is unable to attend a class is required to notify the school at least one hour prior to the scheduled commencement time. If the student does not show up for class and does not notify the school or the teacher , the teacher or school administrator may contact the student and marks will be deducted. Please ensure classes are attended on a punctual basis as scheduled.

If a student is absent for four weeks for any reason the program will be discontinued under the rules and regulations set under the Performance Agreement of the Ontario Ministry of Training, Colleges and Universities - Student Support Branch. If a withdrawal letter has not been provided students may be liable for the entire contractual obligation.

Breaks
Full -Time students are allowed ½ hour for lunch break. In addition, students are encouraged to take periodic short breaks as allocated by supervisor in order to stretch and rest their eyes, since extended periods of physical inactivity coupled with intense concentration on the display monitor can cause discomfort and eye strain.

Please note that Instructors take their lunch between 12:00 -12.30 or 12.30 – 1:00 pm. Students will not have any supervisors during breaks or after scheduled times if they decide to remain at their workstation or are authorized to remain in a lab.

Food Policy
The school Policy requires food and drink be consumed in the Lunch Room and dedicated Authorized area’s within the building, since crumbs and liquids which find their way onto the premises cause an unhygienic environment and could cause disease.

Telephone
Students are asked to use the pay telephone located in the building for voice calls or to bring a personal mobile phone. For urgent calls only students may ask the reception desk to use the office phone. This would include family emergencies and job-related calls.

Mobile, Smart Phones, electronic music devices & electronic book readers
Some digital devices may be prohibited therefore students are asked to refrain from using unauthorized electronic devices in the study area unless permitted including hallways within the school premises. Students may use e-readers during sessions to learning purposes if authorized by teachers.

Perfumes
As some students may suffer from allergic reaction please refrain from using strong perfumes while at school.

Dress Code
Students are expected to dress professionally, casually smart and clean. Students are not permitted to be topless or be without foot ware within the school premises.

Hygiene
Students are expected to be neat, clean and tidy, and presentable at all times. If a student attends classes in a poor hygiene condition or is sick, the student will be asked to go home until the situation is rectified.

Health Issues
Students are asked to disclose information if they suffer from any health problems or carry a contagious or infectious disease. Please disclose this information prior to enrolling on this inquiry and Registration Form. Many Health Care programs require also a doctors certificate from participants.

Disability Accommodation Policy
Canadian Business College follows its accessibility policy and special requirements must be disclosed if accommodation is required prior to enrollment and prior to commencing studies. The onus is upon the participant to read and understand the school policy.

The Internet
Students are encouraged to use the Internet to enhance their learning experience and for research & Job search. However sites with pornography, violence, games, chat rooms and social networks not related to studies are not permitted. Also extensive printouts of more than 2 pages are not permitted unless authorized by your teacher. Students may be charged additional service fee's for unauthorized printing that is not a part of the student study. Printing from the Internet and printing of copyright material is strictly prohibited

Technology Security Policy - Malware, spam and adware
Due to the risk of computer virus infection, we require students to use only the electronic devises provided or authorized. Students are advised not to download from or visit suspicious internet sites or print unauthorized documents or files from the Internet.

Technology Problems
Students experiencing any technical problem should bring the matter to the attention of their supervisor immediately. Please be patient as technology problems can occur, you may want to learn how to solve the problem together with your supervisor. If an alternative workstation is available your supervisor may ask you to move to another desk.

Schedule
Students should have received a weekly/monthly schedule sheet outlining dates they are expected to complete each component of their course within the first week of study. If this is not received ask your trainer immediately for a copy. Students are required to complete courses within or prior to the end date specified on the enrolment contract. There are no extensions provided for OSAP, Service Canada, MTCU, or Corporate Sponsor, fee paying clients, or International students.

International Students
If you are on a Student Visa and require any help on any matter or are in need of documentation or advice the administrator at the front desk for assistance.

External Exams
Assistance can be provided to arrange invigilation or to schedule exams by the administrative staff or teachers upon request. If a participants certification exam is pre-paid or included the course students must schedule the exam with the school administrator and take all the tests at the school or at the authorized place.

Tests & Exams
In general, the marks on tests are allocated as follows for business course:

General passing grade 75%

If a pass is not achieved on the first try, you may rewrite the test at a later date in order to bring up the mark. However mark's will be deducted in case of any retake.

Some regulated Programs may have a separate of different Marking Policy to the above.

Evaluation Forms
We request participants of our programs fill out Evaluation Forms on a regular basis and we welcome comments about us. The evaluation forms allow us to provide a more enlightened view of teaching, the evaluations inspire our teachers as educators as we aim to facilitate student needs. Your honest evaluation is greatly appreciated. Each day as our members participate they log-on to computer systems and we ask for electronic evaluations and if bypassed a waiver is automatically signed stating satisfaction. If participants have any comments it is imperative we are informed so we can assist.

Student Reports
We evaluate program participation progress, we also students to self assess and make recommendations. do a self-analysis.

Job Search Assistance Program
Job Search Assistance is offered to all participants that ask.

Guest Speakers
Canadian Business College may from time to time invite speakers.

Field Trips
Students may be asked to go on study related trips or to attend community events or to visit organisations related to studies. It is students responsibility to arrange personal travel and to pay for any related costs.

Transcripts & Diploma
When a course is completed, the Study Transcript and Diploma may be mailed to the home address on our file or picked up; therefore it is important that you give us your correct mailing address. If a Diploma / Certificate or Transcript needs to be reissued a fee will apply.

Trainers
Canadian Business College teacher standards are regulated under the Private Career Colleges Act, 2005.

Classroom Learning
Most technology learning utilizes our blended learning formula if students are participants in an Instructor led program additional classroom policies may apply . The Instructor will advise of any additional rules and regulations pertaining to the specific class.

Lab Time
Students are provided as much lab time required in order to keep pace with the scheduled time sheet. Students are required to inform supervisors when additional lab time is required. Unfortunately the school cannot guarantee that Instructors will be available to help during additional time.

Facilities
The facilities are comfortable in a modern air-conditioned environment building, close to public transportation and public parking. Classrooms are equipped with all the necessary tools required for the scheduled classes. There are several labs, which provide Internet access, Multimedia Lab, and Enterprise networks. Facilities include a kitchen where students may use the fridge and microwave oven, coffee and a pop machine is also generally available for student convenience.

Code of Behaviour
Students are expected to behave in a professional business like manner.

Quiet Enjoyment
In order for Canadian Business College students to develop skills we request silence in the classrooms.

If a student is disruptive or noisy they will be asked to keep quiet or leave the premises. If no satisfactory change is made the student’s studies could be terminated from the class.

Suggestion or Concerns
If students have suggestions or are not satisfied with any aspect of the learning experience;
Fill out the written or electronic Evaluation Form in detail and hand this over to the supervisor.

Talk to your Instructor. If that does not solve the issue, arrange a meeting with the school counselor. As a last resort arrange a meeting with the program director or general manager. Remember if we don’t know your concern, we will not be able to address it and suggest a solution.

Privacy
Both student and the school are expected to respect confidentiality and not disclose information without prior permission.

Copyright
Students are not permitted to copy software or training manuals or undertake any illegal activity within the school premises. It is further understood that any software, website, video or written document developed within the school as part of a school project or with the schools assistance will be deemed as school property. The student fully acknowledges this copyright policy and will not make any personal claim(s) towards such.

Smoking
Smoking is not permitted in the building.

Damage
A student who damages or destroys school property or building property will be subject to dismissal from the course without refund of tuition and will be liable for replacement costs. The student could be reffered to external authorities for assessment.

Dismissal / Suspension & Fail
Canadian Business College can expel a student according to the expulsion policy.

Loss, Theft or Injury
The school is not responsible for loss of personal property or for personal injury from whatever cause. If a student is found stealing from the school premises, the student will be terminated and the school reserves the right to lay charges for any theft or intentional damage to property or personal.

Fee’s
The school reserves the right to hold on to credentials if the fee’s are not paid in full. Unpaid accounts will be forwarded to a third party credit company for full recovery also interest and penalties could be incurred.

Mailing
Canadian Business School Inc © O/A Canadian Business College ™ is committed in providing students value added features such as an email account, information with program updates, or student loan information, job search assistance, free tickets and a yearly calendar together with our Newsletter and thereby students by default authorize the College to distribute such information and to provide promotional material or updates at any known mailing address“”.

Change of Address or Telephone Number
The student is responsible to notify the school of any change in information during and after study period.


Rules & Regulations – Ethics

The School Shall
1. Test each student to ensure that the program is suitable with respect to academic ability and aptitude of the student
2. Ensure each student has a minimum of a grade 12 level education or is a mature student
3. Respect the individuality of each student
4. Treat all individuals fairly and equally
5. Maintain a professional and safe environment
6. Provide the highest standards of education, through qualified administrative and instructional personnel
7. Maintain open communication between students and employees, through conversation and written evaluation
8. Maintain any promises
9. Listen to, and appropriately act on, student concerns
10. Encourage through communication and cooperation the success of each student
11. Work towards the success of students to achieve goals
12. Follow the Code of Ethics set by the Ontario Association of Career Colleges
13. Follow and maintain the provisions of this policy

The Student Shall
1. Have done their due diligence prior to entering the program
2. Have a minimum of a grade 12 level education or is a mature student
3. Understand the rules and regulations of the college and agrees to follow the set procedures
4. Respect the individuality of those around them
5. Maintain open communication, through written evaluation and conversation
6. Commit him/herself to studying
7. Self-evaluation
8. Maintain a professional aptitude, dress in an appropriate manner
9. Complete all assignments and exams as directed
10. Not use foul language or be disruptive towards others
11. Not remove any materials or course information from the premises, without appropriate consent
12. Not use cellular phones and pagers in the classroom
13. Follow and maintain the provisions of the school policy

If for any reason, the above is breached, written documentation will be provided and forwarded to the principal, and will be kept in the students file.

ADMINISTRATIVE POLICY AND PROCEDURES

Admissions Requirements:
Mature Student Status

1. A mature student is an applicant who has reached the age of 18 years on or before the commencement of the program in which he or she intends to enroll.

2. The institution will verify that the students admitted without OSSD have equivalent academic abilities (e.g., an appropriate mature student admissions test). Canadian Business School will retain in the student’s file evidence of verification of equivalent academic abilities.

Documentation
Canadian Business School will verify that the admissions requirements are being met by retaining the following documentation in the student file:

1. High school graduates: a copy of Grade 12 transcripts, diploma’s, or equivalent.
2. Mature students (over 18): a copy of birth certificate or other official government document that includes applicant’s date of birth and the results of the mature student admissions tests.

Canadian Business College shall protect the privacy of the students and will follow the policies set forth by the Confidentiality Provisions under the Performance Requirements Document “Schedule A” of the Ontario Student Support Branch of MTCU.

Refund Policy

Canadian Business College
Fee Refund Policy as Prescribed under s. 25 to 33 of O.Reg. 415/06

25. (1) A private career college shall refund all of the fees paid by a student under a contract for the provision of a vocational program in the following circumstances:

1. The contract is rescinded by a person within two days of receiving a copy of the contract in accordance with section 36 of the Act.

2. The private career college discontinues the vocational program before the student completes the program, subject to subsection (2).

3. The private career college charges or collects the fees,

i. before the registration was issued for the college under the Act or before the vocational program was approved by the Superintendent, or

ii. before entering into a contract for the provision of the vocational program with the student, unless the fee is collected under subsection 44 (3).

4. The private career college expels the student from the college in a manner or for reasons that are contrary to the college’s expulsion policy.

5. The private career college employs an instructor who is not qualified to teach all or part of the program under section 41.

6. The contract is rendered void under subsection 18 (2) or under section 22.

7. If a private career college fails to, or does not accurately, provide in the itemized list provided to the Superintendent under section 43 a fee item corresponding to a fee paid by a student for the provision of a vocational program, the college shall pay the student,

i. in the case of an item not provided by the college, the full amount of the fee for the item, and

ii. in the case of a fee in excess of the amount of the fee provided for the item, the difference between the amount of the fee for the item provided to the Superintendent and the fee collected.

(2) A full refund is not payable in the circumstances described in paragraph 2 of subsection (1) if the discontinuance of the vocational program coincides with the private career college ceasing to operate.

(3) A refund is not payable under paragraphs 1 to 6 of subsection (1) unless the student gives the private career college a written demand for the refund.

(4) A refund under subsection (1) is payable by the private career college within 30 days of the day the student delivers to the college,

(a) in the case of a rescission under section 36 of the Act, notice of the rescission; or

(b) in the case of a refund under paragraphs 2 to 6 of subsection (1), a written demand for the refund.

Partial refund where student does not commence program

26. (1) If a student is admitted to a vocational program, pays fees to the private career college in respect of the program and subsequently does not commence the program, the college shall refund part of the fees paid by the student in the following circumstances:

1. The student gives the college notice that he or she is withdrawing from the program before the day the vocational program commences.

2. In the case of a student who is admitted to a vocational program on the condition that the student meet specified admission requirements before the day the program commences, the student fails to meet the requirements before that day.

3. The student does not attend the program during the first 14 days that follow the day the program commenced and the college gives written notice to the student that it is cancelling the contract no later than 45 days after the day the program has commenced.

(2) The amount of a refund under subsection (1) shall be an amount that is equal to the full amount paid by the student for the vocational program, less an amount equal to the lesser of 20 per cent of the full amount of the fee and $500.

(3) A refund under subsection (1) is payable,

(a) in the case of a refund under paragraph 1 of subsection (1), within 30 days of the day the student gives notice of withdrawing from the program;

(b) in the case of a refund under paragraph 2 of subsection (1), within 30 days of the day the vocational program commences; and

(c) in the case of a refund under paragraph 3 of subsection (1), within 45 days of the day the vocational program commences.

(4) For the purposes of paragraph 3 of subsection (1), it is a condition of a contract for the provision of a vocational program that the private career college may cancel the contract within 45 days of the day the vocational program commences if the person who entered the contract with the college fails to attend the program during the 14 days that follow the day the vocational program commences.

(5) A private career college that wishes to cancel a contract in accordance with subsection (4) shall give written notice of the cancellation to the other party to the contract within 45 days of the day the vocational program commences.

Partial refunds: withdrawals and expulsions after program commenced

27. (1) A private career college shall give a student who commences a vocational program a refund of part of the fees paid in respect of the program if, at a time during the program determined under subsection (3),

(a) the student withdraws from the program after the program has commenced; or

(b) the student is expelled from the program in circumstances where the expulsion is permitted under the private career college’s expulsion policy.

(2) This section does not apply to vocational programs described in sections 28 and 29.

(3) A private career college shall pay a partial refund under this section only if the withdrawal or expulsion from the vocational program occurs at a time during the program determined in accordance with the following rules:

1. In the case of a vocational program that is less than 12 months in duration, the withdrawal or expulsion occurs during the first half of the program.

2. In the case of a vocational program that is 12 months or more in duration,

i. for the first 12 months in the duration of the program and for every subsequent full 12 months in the program, the withdrawal or expulsion occurs during the first six months of that 12-month period, and

ii. for any period in the duration of the vocational program remaining after the last 12-month period referred to in subparagraph i has elapsed, the withdrawal or expulsion occurs in the first half of the period.

(4) If the student withdraws or is expelled from a vocational program within the first half of a period referred to in subsection (3), the amount of the refund that the private career college shall pay the student shall be equal to the full amount of the fees paid in respect of the program less,

(a) an amount that is equal to the lesser of 20 per cent of the full amount of the fees in respect of the program and $500; and

(b) the portion of the fees in respect of the portion of the period that had elapsed at the time of the withdrawal or expulsion.

(5) If the student withdraws or is expelled from a vocational program during the second half of a period referred to in subsection (3), the private career college is not required to pay the student any refund in respect of that period.

(6) A private career college shall refund the full amount of fees paid in respect of a period that had not yet commenced at the time of the withdrawal or expulsion.

Partial refunds: distance education programs

28. (1) This section applies to a vocational program that is offered by mail, on the internet or by other similar means.

(2) A private career college shall give a student who commences a vocational program referred to in subsection (1) a refund of part of the fees paid in respect of the program if,

(a) the student withdraws from the program or the student is expelled from the program in circumstances where the expulsion is permitted under the private career college’s expulsion policy; and

(b) at the time of the withdrawal or expulsion, the student has not submitted to the private career college all examinations that are required in order to complete the program.

(3) The amount of the refund that a private career college shall give a student under subsection (1) shall be determined in accordance with the following rules:

1. Determine the total number of segments in the vocational program for which an evaluation is required.

2. Of the total number of program segments determined under paragraph 1, determine the number of segments in respect of which an evaluation has been returned to the student.

3. The amount of the refund that the private career college shall pay the student shall be equal to the full amount of the fees paid in respect of the program less,

i. an amount that is equal to the lesser of 20 per cent of the full amount of the fees in respect of the program and $500, and

ii. the portion of the fees in respect of the number of segments determined under paragraph 2.

(4) A private career college is not required to give a student any refund if the student, at the time of withdrawal or expulsion, has been evaluated in respect of more than half of the total number of segments in the program.

Partial refunds: non-continuous programs

29. (1) This section applies to a vocational program approved by the Superintendent to be provided through a fixed number of hours of instruction over an indeterminate period of time.

(2) A private career college shall give a student who commences a vocational program referred to in subsection (1) a refund of part of the fees paid in respect of the program if, before completing the required number of hours of instruction,

(a) the student has given the college notice that he or she is withdrawing from the program; or

(b) the student is expelled from the program in circumstances where the expulsion is permitted under the private career college’s expulsion policy.

(3) The amount of the refund that a private career college shall give a student under subsection (1) shall be equal to the full amount of the fees paid in respect of the program less,

(a) an amount that is equal to the lesser of 20 per cent of the full amount of the fees in respect of the program and $500; and

(b) a portion of the fees in respect of the program that is proportional to the number of hours of instruction that have elapsed at the time of the withdrawal or expulsion.

(4) A private career college is not required to give a student any refund if the student, at the time of withdrawal or expulsion, has completed more than half of the required number of hours of instruction in a program.

No retention of refund

30. A private career college shall not retain, by way of deduction or set-off, any refund of fees payable to a student under sections 25 to 29 in order to recover an amount owed by the student in respect of any service or program other than a vocational program offered by the private career college.

Treatment of books and equipment

31. In calculating a refund under sections 25 to 29, a private career college may retain the retail cost of books or equipment that the private career college supplied to the student if the student,

(a) fails to return the books or equipment to the private career college within 10 days of the student’s withdrawal or expulsion from the program, or

(b) returns the books or equipment to the private career college within the 10-day period referred to clause (a), but fails to return it unopened or in the same state it was in when supplied.

Refund for international students

32. A notice to a private career college that is provided by or on behalf of an international student or of a prospective international student and that states that the student has not been issued a temporary resident visa as a member of the student class under the Immigration and Refugee Protection Act (Canada) is deemed to be,

(a) notice of a rescission of the contract for the purposes of section 36 of the Act if the notice is given within two days of receiving a copy of the contract; and

(b) notice that the student is withdrawing from the program for the purposes of paragraph 1 of subsection 26 (1) or clause 29 (2) (a) if the notice is received on or before half of the duration of the program has elapsed.

Currency

33. Any refund of fees that a private career college is required to pay under the Act shall be paid in Canadian dollars.
